Begin with administrative boundaries
Name the appointments and information the workflow may handle, the staff who review requests, and the actions that must remain manual. Medical advice and emergency triage do not belong in a generic booking workflow; clinical escalation needs qualified review.
Confirm the calendar write before announcing a booking
Checking availability and writing a booking are separate operations. Test concurrent requests, time zones, cancellation rules, and retries. Only a confirmed write should produce a booking confirmation; a notification provider accepting a message does not prove delivery.
Minimize the information collected
Do not use a public project inquiry form for patient records, insurance identifiers, or clinical documents. Review the applicable privacy requirements, access permissions, retention, and vendor arrangements before a real implementation.
Measure the process you actually run
Track received requests, staff review, confirmed appointments, attendance, and financial outcomes separately. Without an observed baseline and a defined period, an appointment scenario cannot support a revenue or accuracy claim.
